Cancellation, Transfer & Refund Policy

Effective: 1st January 2026

This policy applies to paid Prime Sports holiday clubs, sports camps, sessions and other bookable activities. It is intended to explain clearly what happens when a customer cancels, requests a transfer, or when Prime Sports is

unable to deliver a booked session.

1. Customer cancellations

If you no longer require a booked place, please contact Prime Sports as soon as possible. Because staffing, venues, equipment and activity delivery are planned using confirmed bookings, a cancellation may cause Prime Sports a financial loss.

2. Refunds following customer cancellation

Where a customer cancels, any refund or amount retained will be determined fairly and will reflect the direct loss reasonably incurred by Prime Sports as a result of that cancellation. This may include costs already committed and loss arising where the place cannot reasonably be resold. Prime Sports will take reasonable steps to reduce its loss, including making cancelled places available to other customers where practicable.

3. Transfers to another date

Where availability allows, Prime Sports will normally offer the customer the option to transfer the booking to another suitable session or date instead of cancelling. Transfers are subject to availability and are not guaranteed. A transferred booking has no cash value and remains subject to this policy.

4. Illness, holidays and changes of plans

A child's illness, a family holiday, transport difficulties or another change in personal circumstances does not automatically create an entitlement to a full refund. Prime Sports will consider the circumstances of the cancellation, any losses already incurred and whether the place can be resold. Where possible, a transfer may be offered as an alternative.

5. Cancellation by Prime Sports

If Prime Sports cancels a session and cannot provide a reasonable replacement or alternative date, customers will be entitled to an appropriate refund for the service that has not been provided. Nothing in this policy limits any statutory rights a customer may have.

6. Exceptional circumstances

Prime Sports may consider exceptional circumstances on a case-by-case basis. Any discretionary refund, credit or transfer offered in one case does not create an entitlement to the same outcome in another case.

7. How to request a cancellation or transfer

Cancellation and transfer requests should be made through the contact method provided in the booking system. Please include the child's name, venue, booked date and the change requested so that the booking can be located and reviewed promptly.

8. Consumer rights

This policy is intended to operate alongside UK consumer law, including the Consumer Rights Act 2015. Nothing in this policy excludes or restricts rights that cannot legally be excluded or restricted.

Important: Prime Sports does not operate an absolute 'no refunds in any circumstances' rule. Where a customer cancels, the amount retained must be reasonable and connected to the loss caused by that cancellation. Where possible, transferring the booking to another available date will usually be our preferred solution.
